Bulk Send WhatsApp Business

How to Send Bulk Messages Using WhatsApp Business

Welcome! This guide will show you how to send a message to multiple contacts at once using WhatsApp Business. Don't worry if you've never done this before—we'll walk through everything step by step.

What You'll Learn

By the end of this guide, you'll know how to:

  • Select multiple contacts to message
  • Choose and customize a message template
  • Schedule when your messages will be sent
  • Check that your messages were delivered successfully
What is a bulk message?

A bulk message is simply a way to send the same message to many people at once, instead of copying and pasting it individually to each person. Think of it like sending a party invitation to your whole contact list in one go, rather than texting each friend separately.

Step 1: Select the Contacts You Want to Message

First, we need to choose who will receive your message.

  1. Open your contacts list in WhatsApp Business.
  2. Find the contacts you want to send the message to.
  3. Click or tap on each contact to select them. You'll see a checkmark appear next to their name.
How many can I select?

You can select as many contacts as you need—two, ten, or even hundreds. Just keep clicking on the names you want to include.

  1. Once you've selected all your contacts, look for a button that says "Send Message" and click on it.

Step 2: Choose WhatsApp Business as Your Messaging Method

After clicking "Send Message," you'll see a few options for how to send your message.

  1. From the list of options, select WhatsApp Business.
What happens next?

The system will now show you a list of pre-made message templates. These are message formats you've created before and saved for future use. Think of them like email templates—they save you time by providing a starting structure you can customize.

Step 3: Select and Customize Your Message Template

Now it's time to choose what your message will say.

  1. You'll see a list of message templates you've already created. Browse through them and find the one you want to use for this message.
  2. Click on the template to select it.
  3. Click the "Next" button.

Understanding Variables (The Curly Brackets)

What are those {curly brackets}?

When you look at your template, you might see text inside curly brackets, like {name}. These are called variables, and they're actually really helpful! They act like blank spaces that will automatically fill in with different information for each person.

For example, if your template says "Hi {name}, thank you for your order," the system will replace {name} with each person's actual name. So John sees "Hi John," and Sarah sees "Hi Sarah." It makes your bulk message feel personal!

Customizing the Variables

Now let's fill in those blank spaces with the right information.

  1. Look at your template and find any text in curly brackets (like {name}).

  2. For each variable, you need to decide what information should go there. You have two options:

    Option A: Type it manually

    • You can simply type what you want to appear. For example, type "Friend" if you want everyone to see "Hi Friend."

Option B: Use stored contact information (Recommended)

    • This is the smarter choice! Click on the variable field (where you see the curly brackets).
    • Select "Contact" from the menu that appears.
    • Choose the information you want to insert, like "First Name".
Why use stored contact information?

When you use stored information like "First Name," the system automatically inserts each person's actual name from their contact card. This means John will see "Hi John" and Sarah will see "Hi Sarah"—without you having to type each name individually. It's both faster and more personal!

Character Limit

Each variable can hold up to 30 characters. If you try to use something longer (like a very long name), it might get cut off.

  1. Once you've filled in all the variables, click "Next".

Step 4: Schedule When Your Messages Will Be Sent

This is where you decide the timing of your messages. You can send them immediately or spread them out over time.

Why would I want to schedule messages?

Sending hundreds of messages all at once might look like spam to WhatsApp. By spacing them out (even by just a few seconds), your messages are more likely to be delivered successfully and won't trigger any spam filters. Plus, it's more considerate to your recipients!

Here's what each setting means:

Batch Quantity

This controls how many messages are sent at a time before the system pauses.

  1. Look for the field labeled "Batch Quantity".
  2. Enter a number. For example, if you enter 1, the system will send one message, then pause before sending the next.
Recommended Setting

For most situations, setting this to 1 or 5 works well. If you're sending to hundreds of people, you might use 10 to speed things up slightly while still being safe.

Time Interval Between Batches

This is the pause time between each batch.

  1. Find the field labeled "Time Interval for Batch".
  2. Enter how many minutes the system should wait between batches. For example, enter 1 to wait one minute.
Example

If your batch quantity is 5 and your time interval is 1, the system will send 5 messages, wait 1 minute, send the next 5 messages, wait 1 minute, and so on.

Days of the Week

Choose which days of the week messages can be sent.

  1. You'll see a list of days: Monday, Tuesday, Wednesday, etc.
  2. By default, all days (Monday through Sunday) will be selected. This means messages can be sent on any day.
  3. If you only want messages sent on weekdays, uncheck Saturday and Sunday.
Recommended Setting

Unless you have a specific reason, it's usually fine to keep all days selected.

Time of Day

Choose what hours of the day messages can be sent.

  1. You'll see two time fields: a start time and an end time.
  2. Set these to define your "sending window." For example:
    • Start time: 8:00 AM
    • End time: 8:00 PM
Why this matters

Setting respectful hours (like 8 AM to 8 PM) ensures you don't wake people up with a message at 3 AM or bother them late at night. This is especially important if your contacts are in different time zones!

  1. Once you've configured all these settings, click the "Send" button.

Step 5: Check the Progress of Your Bulk Message

After you click "Send," you'll want to make sure everything is working correctly.

  1. Look for a button or link that says "Check Progress" and click on it.
  2. This will take you to the Bulk Actions page.

Understanding the Bulk Actions Page

What is the Bulk Actions page?

Think of this page as a status board. It shows you a list of all the bulk messages you've sent (or are currently sending), along with their current status. It's like a tracking page for a package delivery—you can see exactly where things are in the process.

On this page, you'll see your bulk message listed. Next to it, there will be a status label. Here's what the different statuses mean:

  • Queued: Your messages are lined up and waiting to be sent. They haven't gone out yet, but they will according to the schedule you set.
  • In Progress: Messages are actively being sent right now.
  • Completed: All messages have been sent (whether they are successful or failed, you can check the bulk action stats)
What to Expect

If you just sent your bulk message, it's normal to see the status as "Queued" at first. Depending on how many contacts you're messaging and your time interval settings, it might take minutes or even hours to complete. That's perfectly normal!

Step 6: Verify That Messages Were Delivered

Once the status shows "Completed," let's double-check that your contacts actually received the messages.

  1. Go back to your Contacts page.
  2. Click on one of the contacts you sent the message to.
  3. Look at your message history with that contact.

What You Should See

If everything worked correctly, you should see:

  • The message you sent (with their personalized information, like their name, filled in correctly).
  • A small label or icon indicating the message was sent from WhatsApp Business.
  • A timestamp showing when the message was sent.
Success!

If you can see the message in your chat history with the correct information and timestamp, congratulations! Your bulk message was sent successfully. You can check a couple more contacts to be extra sure, but if one worked, they all likely did.

You're Done! 🎉

That's all there is to it! You've successfully sent a bulk message using WhatsApp Business. Here's a quick recap of what we did:

  2. Chose WhatsApp Business and picked a message template
  3. Customized the template with variables (like first names)
  4. Scheduled when and how the messages would be sent
  5. Checked the progress on the Bulk Actions page
  6. Verified the messages were delivered
